About GDPR and personal data

In order for TRS to be able to support you on your journey to finding a new job, or so that you can avail of other services offered by TRS under the collective agreement, we need to collect and process your personal data. Here you can read about what it means, what data we collect and how long we save it for. Please do not hesitate to contact us if you have any questions!

TRS is responsible for the processing of personal data we need to do as part of our operations. The purpose is determined by our mission. The mission is described in the TRS Adjustment Agreement.

For example, TRS processes personal data when you apply for support on the journey towards a new job, if you participate in a business development project or in a seminar, if you subscribe to the newsletter, or if you are a contact person for an employer.

TRS’s processing of personal data complies with the General Data Protection Regulation (GDPR) and other laws and regulations on data protection and the processing of personal data.

This text provides information on how TRS processes personal data. It is also to help you more easily safeguard your rights under GDPR.

How do we collect your personal data?

Aside from the information you submit to us or what we receive through our contact with you (e.g. via phone or e-mail), we may obtain personal data concerning you from another source, a so-called third party.

For example, when your employer applies for adjustment support on your behalf, we receive information concerning you. If you apply for adjustment support due to ill health, we receive information regarding your work capacity from Försäkringskassan.

Cooperation with others

In order to fulfil our commitments, we sometimes need to obtain help from other parties, such as consultants, both in the adjustment support and in our preventive activities. We also use external providers for our IT systems.

The may access and process your personal data on our behalf. This is regulated through an agreement (data processing agreement) between us and them.

Through the agreements we ensure that those who process personal data on our behalf do so in a secure manner and solely within the context on the assignment we have given them. TRS is still responsible for the processing of your personal data.

Sometimes we disclose your data

When we process your personal data, we sometimes disclose data concerning you to government agencies (only if we are obliged to do so) or to our partners. Such partners include TRS Bank, which is involved in disbursing supplementary employment benefit (AGE) or other compensation and premiums for insurance.

When applying for adjustment support

In order to be able to support you on the journey towards a new job, TRS needs your personal data. This is firstly obtained through you and your employer providing information in the application, and secondly through information you provide to your advisor.

Examples of data we collect:

• Civic registration number
• Name
• Contact details
• Your past education and training
• Your past employment
• Your current or most recent salary
• Work experience
• Details of your current situation

If you do not want to provide us with your personal data, we cannot offer you any adjustment support.

When you participate in a seminar, project or other context with TRS

In order to be able to conduct seminars, webinars, projects for business development and skills development, information meetings or other events for employers, union representatives and/or employees in affiliated organisations or other stakeholders, TRS needs to collect certain data concerning you.

Examples of data we collect:

• Name
• Contact details (e.g. address, e-mail and phone number)
• Health information regarding, for example, allergies or special needs.

If you do not want to provide us with your personal data, we cannot offer you this type of activity.

Contact persons, consultants and other partners

TRS needs to have contact persons in affiliated organisations to be able to carry out our assignment under the adjustment agreement. We also need information on consultants, subcontractors and other partners.

Examples of data we collect:

• Name of contact persons at affiliated employers, consultants, suppliers or other partners.
• Contact details (e.g. address, e-mail and phone number).
• Correspondence, via letter and e-mail.

How long do we store your data?

We do not store the data longer than we need in order to be able to provide you with the support you are entitled to or to carry out other assignments under the collective agreement.

We also endeavour to adhere to the storage times specified in more detail in our privacy policy. Certain data is stored for longer periods that specified in the privacy policy in order for us to comply with other legal obligations, such as for accounting purposes. In that case, the data saved is only the data required to fulfil those specific obligations (e.g. pursuant to the Accounting Act 1999:1078).

Cookies

Our website uses cookies, among other things, to make the website work smoother. TRS essentially only uses session cookies. These are cookies that are stored on your computer during the time you use the website, and then they disappear.

TRS’s website uses one more type of cookie, so-called third-party cookies. Like may others, we use the analytics tool Google Analytics to obtain statistics, count the number of users and analyse the traffic on the website. If you do not want to allow cookies, you must personally change the settings for this in your browser.

Your rights

When you are registered with us and we process your personal data, you have certain rights under GDPR. In short, these rights entitle you to receive information on how your personal data is being processed and and give you control over your own data.

Specifically, this means that you are entitled to a register extract indicating the personal data that we have concerning you. You also have the right to supplement, erase and restrict the use of this data.

If you wish to erase data that we need to carry out our assignment under the collective agreement, you will no longer be able to use our offers.
